This policy explains how NORTHVANE (“we”, “us”) uses personal information collected through the Register Ready website. It covers this website only. The Register Ready application will have its own privacy information.
Who we are
NORTHVANE is the business behind Register Ready, a NORTHVANE Property product that helps landlords, letting agents and property managers organise property information ahead of rental property registration in England. We are responsible for the personal information described in this policy.

What we collect
When you use the early access form, we collect:
- your name
- your work email address
- your organisation
- the option that best describes you (for example, letting agent)
- the approximate number of properties you manage
- anything you choose to include in your message
We ask you not to include sensitive information, or details about tenants or other individuals, in your message.
When you use the website, technical information such as your IP address, browser type and the pages requested is processed by our hosting and security providers to deliver the site, keep it secure and prevent abuse. The verification check on the form also processes technical information about your browser and device to tell people apart from automated traffic.

How we use it
- to respond to your enquiry about Register Ready
- to manage our conversation with you as a prospective customer, including follow-up about early access that you have asked for
- to protect the website and form against spam, fraud and abuse
Sending an enquiry does not sign you up to marketing. We won't send you promotional marketing unless you separately agree to receive it, and you can ask us to stop contacting you at any time.
Our lawful basis
We use your information on the basis of our legitimate interests in responding to enquiries and discussing Register Ready with people who have contacted us. Where you ask about using Register Ready, we may also rely on taking steps at your request before entering into a contract. We use technical information on the basis of our legitimate interests in keeping the website secure and available.
Who we share it with
We don't sell your information. We use the following service providers to run the website and handle enquiries. They process information on our behalf and only as needed to provide their services:
- Railway: hosts the website and processes requests to it, including the enquiry form.
- Cloudflare: provides DNS and security services for the website and the Turnstile verification check on the form.
- Resend: transmits the email that delivers your enquiry to our team.
- Our email provider: receives and stores enquiry emails in our business inbox.
We may also disclose information where required by law or to protect our rights.
International transfers
Some of our service providers operate internationally, so your information may be processed outside the UK. Where this happens, we rely on the safeguards available under UK data-protection law, such as adequacy regulations or approved contractual terms, as offered by those providers.
How long we keep it
We keep enquiry information for as long as we need it to respond to you and manage our conversation. If that conversation doesn't lead to an ongoing relationship, we aim to delete enquiry emails within 24 months of our last contact with you. We may keep information longer where we need to for legal reasons. Technical logs held by our hosting and security providers are kept for shorter periods set by those providers.
Your rights
Under UK data-protection law you have rights over your personal information, including the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is inaccurate or incomplete
- ask us to delete your information
- ask us to restrict how we use your information
- object to our use of your information, including for any direct marketing
- ask for your information to be transferred to you or another organisation, where this applies

If you're unhappy with how we've handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this policy
We may update this policy, for example as Register Ready develops or our service providers change. The version number and effective date at the top of this page show when it was last updated.
